How the calculator works
- Software: the monthly subscription for that many active members or clients, on monthly billing, from the vendor’s published price list. The calculator lists platforms priced by members or clients, or with one flat plan for unlimited members. Tick “Include platforms not priced by members” to add those that price by staff, courts, features or location, shown at a typical plan and marked “Typical plan”.
- No public price list: Wodify, Exercise.com, Mariana Tek, Glofox and Mindbody appear with that box ticked, at what owners report paying, marked “Reported”.
- Card fees: one card payment per member a month at your average fee, at the platform’s card rate plus its fixed fee per payment (usually $0.30). Where a platform does not publish its rate, we use the rate in its review, usually the standard 2.9%, and mark it “assumed”. Vagaro publishes only an in-person rate (2.6% + $0.10), so its recurring payments are modeled at 2.9% + $0.30; Amilia’s 1% service fee per invoice is added to its rate.
- PushPress: it publishes three plans that trade subscription for card rate (Core Free at 4.99% + $0.30, Core Pro at $159 with 2.89% + $0.30, Core Max at $229 with 2.75% + $0.30), so the calculator picks whichever is cheapest at your numbers.
- Not included: a branded app, marketing add-ons, setup fees, taxes, ACH payments, chargebacks and annual-billing discounts. Each review lists them.
- Left out: SugarWOD, TrainHeroic and TeamBuildr have no built-in client payments, and TrainingPeaks prices by team or athlete plan, so an all-in monthly figure would not compare.
Card fees are most of the bill
At 100 members paying $100 a month, card fees at the standard 2.9% + $0.30 come to about $320 a month, 3.1 times the median subscription of $102 at that size. So the card rate deserves as much attention as the plan price: every percentage point on $10,000 of monthly dues is $100 a month. Among published rates, Virtuagym (2.75% + $0.20) sits below the standard and TrueCoach (a flat 5%) well above it. Ask every vendor for the card rate in writing before you compare.
The plan matters too. PushPress Core Free has no subscription but charges 4.99% + $0.30, so it is the cheaper PushPress plan until a gym collects about $7,600 a month; above that, Core Pro at $159 wins. Move the sliders to see where the lines cross for your gym.
The median subscription at each size, the card rate each vendor publishes and the price of a branded app are in our fitness software pricing report, and the gym software cost guide explains what drives the price.

Frequently asked questions
How much does gym software cost per month with card fees?
At 100 members paying $100 a month, the median subscription is $102 and standard card fees add about $320, so a typical gym pays about $422 a month all-in. Enter your own members and fee above for the figure on each platform.
How are card fees calculated?
Members × average monthly fee × the platform’s card rate, plus the fixed fee per payment (usually $0.30) for each member. A gym collecting $10,000 a month pays about $320 at 2.9% + $0.30 on 100 payments.
Why does the software price stay the same for some platforms when I add members?
They price by something other than members (staff seats, courts, features or locations) or charge one flat price for unlimited members, so only the card fees grow with your roster. The “Price set by” line under each gym platform says which.
